Repository Guide
The Orne Archive preserves and provides access to selected audio recordings, photographs, documents, and related materials held by the Orne Library.
The repository contains material associated with particular investigations, places, individuals, and periods of interest. Records are arranged into collections according to their provenance and archival context rather than by format alone.
Catalogue descriptions reflect the information available at the time each collection is processed. Descriptions, dates, and relationships between records may be revised as additional material is acquired or examined.

Collection Policy
Scope of the Repository
The Orne Archive may contain:
- audio recordings and radio broadcasts;
- recorded interviews and testimony;
- photographs and photographic reproductions;
- correspondence, notes, reports, and other documents;
- curatorial memoranda;
- collection summaries;
- related digitised material.
Not all holdings have been digitised or made available through the online catalogue.
The presence of a catalogue entry does not necessarily indicate that the associated material is open for consultation.
Catalogue Structure
Arrangement
Repository
The complete body of material administered as the Orne Archive.
Collection
A group of related records maintained together because they share a common origin, subject, investigation, geographic scope, or archival history.
Record
An individual item or archival unit within a collection, such as a recording, interview, photograph, document, or memorandum.
Digitised media, transcripts, and descriptive notes are presented as part of the relevant record.

Reference Numbers
Each collection and record is assigned a permanent archival reference. The prefix OAidentifies material held by the Orne Archive.
A collection reference takes the formOA-C001.
An individual record within that collection may take the formOA-C001-R001.
In this example:
- OA identifies the Orne Archive;
- C001 identifies Collection 001;
- R001 identifies the first audio recording catalogued within that collection.
Other record-type codes may be used for interviews, photographs, documents, memoranda, and collection summaries.
Reference numbers remain stable even when catalogue descriptions, dates, titles, or access conditions are revised.
Conditions of Use
Access Conditions
Access conditions are assigned according to the status and circumstances of the material.
- Open
- The record is available through the online catalogue.
- Restricted
- Access is limited because of the condition, provenance, contents, or sensitivity of the material.
- Curatorial authorisation required
- Consultation requires approval from the repository custodian.
- Closed pending review
- The material has not yet been cleared for consultation or public description.
Where a digitised copy is unavailable, the catalogue entry may still provide descriptive information about the original record.
Archival Practice
Description and Processing
Collections may be described as processed, partially processed, unprocessed, in progress, or closed.
Processing may include:
- arranging records;
- assigning permanent references;
- preparing catalogue descriptions;
- determining dates and provenance;
- identifying related people, places, and organisations;
- assessing access conditions;
- preparing digital reproductions or transcripts.
A collection may become available before processing is complete. In such cases, its arrangement and description should be regarded as provisional.
The archive distinguishes between the date a record was created and the date it was acquired, processed, digitised, or published. These dates are recorded separately when they provide useful archival context.
Descriptive Standards
Provenance and Catalogue Notes
Where known, catalogue entries describe how material entered the repository and the circumstances in which it was created or recovered.
Some records may have incomplete, disputed, or uncertain provenance. Uncertainty is retained in the catalogue rather than resolved through speculation.
Titles supplied by the archive are used where an original title is absent, unclear, or unsuitable for identification. Such titles are descriptive and do not necessarily reproduce wording found on the original material.
The catalogue documents what has been established through the available records. It should not be treated as a complete account of the events, individuals, or organisations represented within them.

Additional material will be added as it is acquired, reviewed, and prepared for access.
